North Grenville is a growing municipality located in eastern Ontario housing a unique blend of small town and rural culture. Comprised of an urban centre (Kemptville) and surrounded by several charming rural hamlets, North Grenville is situated between Canada’s National Capital – Ottawa and the St. Lawrence River, only a 30-minute drive along the Veterans Memorial Highway (416), to either destination. Alternatively, for a more leisure journey, North Grenville offers the historic Rideau River managed by Parks Canada.

Responsibilities:
Reporting to the Chief Administrative Officer (CAO), Executive Assistant provides administrative and executive level support and acts as the primary point of contact for the Office of the CAO.
This position interacts with the Mayor, Members of Council, representatives from businesses, community organizations, the public, and all levels of municipal staff. Responsibilities include preparing correspondence, briefing notes and reports, including Council and Committee Reports; taking minutes at meetings, scheduling meetings; maintaining filing systems; conducting research; responding to and/or redirecting inquiries/communications; and completing special projects as assigned.
Qualifications:
• Post-secondary diploma in Public Relations and/or Public Administration, or related field.
• Five (5) years of progressive experience in a senior administrative or executive support role related to the duties listed above.
• Considerable experience in managing projects and coordinating cross-departmental assignments.
• Experience in preparing executive level correspondence and reports.
• Knowledge of municipal government structures, procedures, protocols and practices.
• Experience in handling highly sensitive material and information in a confidential and professional manner.
• Excellent communications skills (both oral and written) with the ability to communicate with all levels of staff, stakeholders and the public.
• Proven ability to work independently with strong organizational skills, including the ability to prioritize workloads, multi-task, and work on concurrent assignments with strict deadlines.
• Demonstrated political acuity and sound judgment to provide strategic and tactical advice and support to senior decision makers.
• Ability to synthesize large amounts of information into concise briefing/ summary materials.
• Knowledge of procedural protocols (e.g. council protocols, ministerial visits, etc.).
• Strong interpersonal skills including the ability to work effectively with the public and other co-workers and staff.
• A team-oriented person with demonstrable initiative, change management skills, and a strong attention to detail.
• Advanced skills in Microsoft Office software including Word, Excel, PowerPoint, Teams, SharePoint and Outlook.
• Valid and unrestricted Class “G” driver’s license with access to reliable transportation and be able to travel to various work locations across the municipality.
Position Description:
• Manages CAO's schedule, correspondence, and confidential files.
• Prepares and edits reports, presentations, and Council documents.
• Coordinates issue management, stakeholder communications, and CAO office operations.
• Supports meetings, tracks strategic priorities, and oversees office logistics, travel, and expenses.
• Liaises with internal and external stakeholders to ensure smooth workflow and timely information sharing.
• Assists CAO and Director, Corporate Strategy with planning and tracking of strategic priorities.
• Supports department-led initiatives and corporate training (e.g., AODA, Records Management).
• Coordinates or assists in organizing corporate events.
• Drafts communications for CAO and Leadership Team, including Council and public correspondence.
• Acts as liaison with Mayor, Council, senior staff, and external agencies.
• Monitors and analyzes government policy impacts, participates in municipal working groups, and prepares for intergovernmental meetings (e.g., FCM, AMO).
• Serves as primary contact for CAO office, addressing complex inquiries and complaints.
• Follows health and safety regulations.
• Performs additional duties as assigned.
• May require travel using personal vehicle for municipal business.
Compensation:
• The salary range for this position is $68,286.00 to $85,340.00 annually.
• Based on a 35-hour work week. Regular office hours are Monday to Friday 8:30 am to 4:30 pm
