Comprised of an urban centre (Kemptville) and surrounded by several charming rural hamlets, North Grenville is situated between Canada’s National Capital - Ottawa and the St. Lawrence River, only a 30-minute drive along the Veterans Memorial Highway (416), to either destination.

Purpose and Scope:

Reporting to the Director of Human Resources, the Human Resources Administrative Coordinator provides support across a range of HR functions, including customer service, onboarding and offboarding, policy implementation, interdepartmental coordination, records and data management, and reporting.

Working closely with the HR team, the Administrative Coordinator helps ensure efficient service delivery and contributes to a positive, people-centered workplace culture.

The position will require:

Essential (minimum) Qualifications:

  • Post-secondary degree in Human Resources, Business Administration, Law or a related field.
  • Working knowledge of relevant employment and health and safety related legislation including but not limited to the Employment Standards Act, Ontario Human Rights Code, Pay Equity Act, Labour Relations Act, Occupational Health and Safety Act, Workplace Safety and Insurance Act, and Accessibility for Ontarians with Disabilities Act.
  • Strong customer service skills.
  • Ability to multi-task and prioritize tasks to meet deadlines.
  • Excellent verbal and written communication skills and strong attention to detail.
  • Strong research, problem-solving, and analytical skills.
  • Proficiency with Microsoft Office suite including Word, Outlook, Excel, and PowerPoint.
  • Valid and unrestricted Class “G” driver’s license with access to reliable transportation and be able to travel to various work locations across the Municipality.

Asset (preferred) Qualifications:

  • Human Resources Professional Designation.

Work Experience:

Essential (minimum) Qualifications:

  • Two (2) years of human resources experience in a similar position.

Asset (preferred) Qualifications:

  • Experience working in a municipal environment.

Responsibilities:

Human Resources Administration (60%)

  • Respond to human resources inquiries from employees, the public, and other organizations, referring complex matters to the Director of Human Resources Director and/or Consultant as required.
  • Support the implementation and development of human resources programs, policies, procedures, and initiatives on a wide variety of topics as directed by the Director of Human Resources.
  • Reinforce the appropriate application of human resources policies and procedures to ensure organizational alignment and adherence with legislative requirements.
  • Provide administrative and clerical support to the HR division, including scheduling of meetings, and preparing reports, briefing notes, and presentations as required.
  • Coordinate the onboarding and offboarding of employees
  • Assist with employee relations issues.
  • Assist with developing, reviewing and updating human resources and health and safety policies, procedures, and forms.
  • Coordinate training logistics and support delivery of learning initiatives and programs.

Data, Records Management, and Reports (30%)

  • Maintain divisional records, documents, and files (i.e., policies, organizational chart, job descriptions, job evaluation data, procedures, resource materials, etc.) in accordance with the Municipality’s records management policy and all legislative requirements.
  • Audit and maintain employee data, including personal information, compensation, vacation, leaves, lieu time, performance appraisals, etc., adhering to all legislative and compliance requirements.
  • Track key performance metrics and provide regular reports to the Director of Human Resources to assist in the development of human resources policies, procedures, programs, and services.
  • Track training attendance and compliance.

Employee Engagement (10%)

  • Coordinate employee recognition programs and other engagement activities and initiatives.
  • Assist with planning and coordinating corporate, departmental, and divisional events.

Working Conditions:

  • Attend meetings, and training as required
  • Some travel involved outside of the Municipality for meetings, conferences, and training as required.

Compensation:

  • The salary range for this position is $57,603.00 to $71,999.00 annually.
  • Based on a 35-hour work week. Regular office hours are Monday to Friday 8:30 am to 4:30 pm.
